JOB SUMMARY The Senior Records Manager is responsible for coordinating creation, storage, preservation, retrieval, and final disposition of company records in physical and electronic form. The incumbent will liaise with senior managers and key personnel across the organization to optimize the accuracy and efficiency of recordkeeping systems, policies and procedures. ESSENTIAL FUNCTIONS 30 Training Develop and execute training plans for all users of document management and related systems Train and assist key users to ensure consistent recordkeeping distributed among business groups Solicit and incorporate user feedback into document management system structure and procedures 30 Records management Design, establish, monitor and maintain decentralized imaging and OCR solutions Coordinate with key users to maintain physical records in parallel with electronic counterparts Respond to internal and external information requests, including legal discovery and litigation holds Facilitate compliance with records retention policy and procedures 20 Content Server administration and support Design and maintain metadata in Content Server document management system, including folder structure, naming conventions, categories and attributes Create and maintain user accounts and permissions Provide front end user support for Content Server and related systems 20 Content Server quality control Monitor final, core business documents filed in Content Server to ensure consistent and accurate metadata Provide user feedback to improve consistency and accuracy across the organization Maintain metadata integrity between Content Server and related systems (e.g. CMS) JOB REQUIREMENTS, QUALIFICATIONS, and COMPETENCIES Education Experience Bachelor s degree or equivalent professional experience Certified Records Manager () At least 5 years of experience, preferably 10 years, in Information Technology and Records Management Experience developing a records management program Experience implementing records management technologies Subject matter expertise in asset management, preferably in aircraft leasing, sales, and securitization Technical Functional Advanced knowledge of and experience using electronic document management systems for, among other things, auditing, version control, metadata, searching, and physical record tracking Advanced knowledge of and experience using document imaging hardware including desktop, MFD, and production scanners Advanced knowledge of and experience using document imaging software including OCR and IFR technology Intermediate to advanced knowledge of SQL based database design Ability to rapidly and accurately enter data (80 wpm net typing speed) Superior written and verbal communication skills Client Relationships Demonstrated ability to communicate technical information to business users Demonstrated ability to communicate business requirements to technical users Demonstrated ability to understand business processes and build working relationships with all functional groups of an organization Team Management Experience training basic and advanced end users Ability to identify, advocate for, and implement essential strategic projects Ability to complete assignments with minimal supervision Ability to work both independently and as part of, or leader of, a team Additional Competencies Detail oriented, organized, and attentive to multiple priorities and deadlines Flexible and proactive in dealing with ambiguity, unexpected events, frequent interruptions, and competing priorities Demonstrated skill at identifying and solving problems in information policy and procedures OTHER INFORMATION Demonstrates general intellectual curiosity develops knowledge base and skill set well beyond minimal requirements continuously analyzes processes and seeks opportunities for improvement Salary indication flexible Selection procedure If you are interested in this vacancy, you can apply by clicking on the button above.
